Job Descriptions

Following is a list of the positions held by Department Managers and the main responsibilities associated with these positions

 

Adult, Children’s and Teen Department Managers – The duties for each of these positions are very similar and are listed as follows:

  • Select items to purchase including items in digital format and items included in online subscriptions
  • Review and assign call numbers when the items arrive
  • Plan, advertise and conduct all department programs
  • Attend System Level meetings
  • Supervise department staff
  • Conduct Library tours
  • Teach computer classes
  • Answer reference questions
  • Provide Notary Public and Deputy Registrar services
  • Attend job appropriate workshops, classes and meetings
  • Conduct outreach programs (schools, preschools, senior organizations, clubs, homebound delivery for disabled patrons, satellite book display and circulation at the Metra station, etc.)
  • Train and work with volunteers
  • Organize departments
  • Pull materials in conjunction with school projects
  • Set and pull materials for displays
  • Weed outdated materials as needed
  • Maintain web pages on the Library’s website
  • Provide input for monthly newsletters
  • Review donations

 

Circulation Manager – The Library’s Assistant Director also manages the Circulation and Reference Departments with the following responsibilities associated with this position:

  • Main contact for patron concerns
  • Trains and supervises all circulation support staff
  • Works at the circulation desk as necessary
  • Organizes information and drafts circulation manuals, writing instructions as required
  • Liaison for the PrairieCat Circulation Services User’s Group.
  • Gather statistical information
  • Attend system meetings as the Library’s circulation representative
  • Attend job appropriate workshops, classes and meetings
  • Supervise the Reference Department
  • Supervise inter-library loan activities
  • Supervise Notary Public and Deputy Registrar Services
  • Supervises patron data entry duties
  • Supervises inventories
  • Supervises all duties performed by the Library’s circulation clerks (i.e. locating items on shelf, checking shelves for overdue items, conducting inventories, etc.)

 

 

Technical Services Manager – This department is responsible for ordering, entering and processing all library collection purchases with the duties as follows:

  • Supervises, trains and evaluates Technical Services staff and volunteers
  • Places orders with vendors for all materials purchased
  • Tracks, receives all incoming orders (which includes books in regular and large print, DVDs, music CDs, audio books, magazines) and verifies against purchase orders and packing lists
  • Performs data entry for all newly acquired items (anyone performing data entry must be system certified by the PrairieCat automation consortium which requires taking classes and passing a test)
  • Supervises library materials processing
  • Processes library materials as necessary
  • Is the Library’s liaison with the PrairieCat Technical Users Group
  • Attends job appropriate workshops, classes, meetings and training

 

Automation/Information Technology Manager – This is a part-time position requiring the appropriate degree in Information Technology Science or the appropriate experience and has the following responsibilities:

  • Maintenance of the library’s website and automation system which includes: hardware, software, network security, email, technology enhancements and telecommunications technology.
  • Train and inform staff of changes as needed
  • Attend job appropriate workshops, classes and meetings,
  • Liaison with the library system automation program coordinator and outside technology partners.
  • Assists in planning for new technology
  • Maintains computer upgrades.
